Regular check-in time is 4:00 PM and check-out is 10:00 AM. Please adhere to this policy, unless previously arranged, otherwise, a $75.00 charge for early arrivals and/or late departures may be applied to your reservation. By state law, occupancy may not exceed what is posted for each home. Maximum occupancy includes infants and children. All properties are non-smoking. Our homes are privately owned and located in residential areas. Many of our villas are also Pet Friendly! Regent Vacation Villas & Property Management is not responsible for changes in furnishings, bed arrangements, and equipment made by a home owner. Minimum stay will vary from 3 to 7 nights depending on property and season. An extra cleaning fee and/or a pet fee may apply to your reservation.
The person whose name appears on the reservation is responsible for any payments, damages, theft, and all other responsibilities associated with the rental of one of our vacation villas. By making a reservation, you automatically agree with our terms and conditions. This policy may differ with reservations made thru affiliated partner websites. A $300.00 deposit is due upon confirmation of a vacation villa rental. The balance is due 60 days prior to your arrival. Generally, payments are made via PayPal or Credit Card. If payment is not received by the due dates Regent Vacation Villas reserves the right to cancel the reservation.
- For cancellations that occur more than 60 days prior to arrival date; we shall refund 100% of the amount paid up to the cancellation date.
- For cancellations that occur between 30 and 60 days prior to arrival; we shall refund 50% of the amount paid up to the cancellation date.
- For cancellations that occur between 15 and 29 days prior to arrival; we shall refund 25% of the amount paid up to the cancellation date.
- Cancellations within 14 days of arrival will receive no refund.
Once the reservation has been paid in full and our Rental Agreement signed, the guest will be provided with directions to the villa and security code information to access the villa, during the week prior to arrival. We reserve the right to cancel any reservation made under false pretenses, for groups exceeding the occupancy of the house or other legal reasons.
Pet Friendly Villas
Some of our vacation villas have been designated Pet Friendly. Due to the extra care and cleaning required to maintain a Pet Friendly villa, a pet fee may be applied to your reservations. Guests must bring pet blankets, leases, cages, and litter supplies. Pets are not allowed on duvet bed covers. Pets are not to be left unattended in the screened pool lanai. Guests are asked to vacuum up excessive pet hair and to ensure that everything possible is done to avoid pet accidents. Guests should never use a product to clean up a pet accident that will damage the floor/carpet/linens/upholstery. Most supermarkets and major retailers sell products that are pet stain specific. If in doubt, contact Regent for assistance, as costs associated with pet damage to the villa are a chargeable expense against a security deposit. See Villa Manual for additional Pet Rules.
Pool Heat Service
Each of the villas has pool heat service available as an optional purchase. For standard pool heat systems, the service charge is $30.00 per day. For gas pool heat systems, the service charge is $35.00 per day. Most pools take up to 24 hours to heat from the time the heater is turned on. Pool heaters have electrical/mechanical components that can sometimes malfunction. Neither Regent Vacation Villas & Property Management nor its vendors nor the home owner(s) can be held responsible for any malfunctioning systems. Please contact Regent asap regarding heating system problems. We cannot guarantee pool water temperatures due to flunctuations in ambient temperatures, condition/age of equipment and orientation of pool. If the ambient temperature goes below 55 degrees Fahrenheit the purchase of standard pool heat is not recommended as these systems cannot generate adequate heat to compensate for the cold outdoor temperature. Regent accept no responsibility for air temperature changes and subsequent effects on pool temperature, and no refunds will be given.
Most vacation villas are in communities with HOA rules requesting that noise from music, outdoor activities, swimming and spa usage be toned down by 9:00 p.m. While some villas may have night-time pool lighting, it is not an included feature in the vacation villa rental. Therefore, swimming and spa usage after dark is not recommended and is strictly at guests own risk.
Sales Tax and County Lodging Tax
Rental rates are subject to 13.5 % tax in Osceola County and 12% in Polk County and Lake County.
Security (Loss/Damage) Deposit
Our Manual in the villa highlights for guests, the care and use of each private villa. If you “leave the villa as you found it”, there really should not be any problems. Our post guest inspection typically is within 48 hours of a departure. Each villa owner may have specific requirements regarding the security deposit, which Regent adhers to, otherwise, a $250.00 security deposit via credit card or Paypal is required with each reservation. Although it is rare, as most guests are good guests, any problems (loss/damage) will be reported back to the villa owner, or to the booking agent, or charged to the security deposit and an email notification will be sent to the departed guests within 3 days or the departure. The Renter agrees to the deduction of the cost of any loss / damage that occurs to the home and it’s contents during the course of the rental, from the refund due. Should damage occur in excess of the Damage / Security Deposit held, the Renter shall be liable for the excess costs including recovery costs and legal expenses if required.
Each of the villas has at least one large outdoor garbage container, and in some communities, a recycling bin as well. Guests are asked not to dump open containers of food/beverage cans/bottles in the garbage cans. Garbage must be properly bagged. Garbage pick-up in most Florida communities is only once per week. The recycling bins have instructions printed on the side or the lid as to what is acceptable for recycling. Please follow these instructions. Contaminated recycling will generally not be picked up. If this happens, the entire bin will need to be bagged and put in the garbage container. Guests are required to put the bins out at the end of the driveway the night before the pick up day. This information is outlined in the Villa Manual. Excessive garbage left behind in the villa and/or garbage that is not put out for pick-up on the designated days may be subject to a charge to the security deposit.
Some villa owners have grills at the villas, and these can be used by the guests; for others, a barbeque grill and gas tank can be rented for $75.00 per week. There is a $50.00 security deposit charge for any grill that is not cleaned after use. In all cases, if the gas tank runs empty, the guest is responsible for replacing the empty tank with a full one. Barbeque grills are not allowed inside the screened pool lanai.
Power, Water, Phone, Cable Outages
With the Florida weather, it is not uncommon to experience outages that are beyond our control. No refunds will be given for any outages.
A Wi-Fi Internet connection is provided for guest’s use. Please note that this is a complimentary service, provided free to guests. We will use our best endeavours to ensure that the service is available for use, but cannot be held responsible for any failures, or non-availability, or speed of service / connection. Rental of one of our homes is a contract between your entire party, Regent Vacation Villas and the homeowners and within the terms of this contract you agree not to view, download or save any pornographic, offensive, obscene or illegal material. No refunds will be given for any outages, breakdowns or equipment failure.
Maintenance & Housekeeping
Every effort is made to ensure that all of our vacation villas are clean, and all equipment and furnishings in good working order. If a guest finds any maintenance or housekeeping problems upon arrival, Regent needs to be notified and every effort will be made to correct the problem as quickly as possible.
All properties are privately owned and are managed by Regent Vacation Villas & Property Management. If you or a member of your family are disabled or has special needs, please let us know in advance. Every effort will be made to accommodate your needs. We serve as the agent and representative of all property owners and act at all times in the best interest of the Owner. We reserve the right to refund deposits, to refund balance payments, to refuse rentals and to discontinue occupancy if, in our opinion, a renter is detrimental to the property. Any reservation obtained under false pretense will be subject to forfeiture. Regent Vacation Villas reserves the right to change or remove (temporarily or permanently) any terms and conditions at any time without notice. Authorized personnel may enter the premises for the purpose of managing the rental. Regent Vacation Villas & Property Management, its directors, agents, employees, subsidiaries and affliiates shall not be liable for any loss or damage, accident or injury, loss of money or valuables of any kind, to any person on the villa property as a guest of the villa renter and/or to any guest. Rates, descriptions and availability are subject to change without notice. Every effort has been made to assure that our information and descriptions are accurate; however, Regent Vacation Villas & Property Management cannot be held responsible for changes made by owners in furnishings or amenities, or for printing errors. In the unlikely event we have to cancel or relocate your reservation, due to unforeseen cirucmstances, we will endeavor to place you in a vacation home of similar standard. If this is not possible we will refund all monies paid to Regent Vacation Villas. Under no circumstances will any compensation be paid to the renter in the event of a cancellation or relocation of a booking. We reserve the right to substitute comparable accommodations without notice or liability should a property become unavailable for reasons such as (but not limited to): emergency maintenance, foreclosures, sale of property, damage caused by previous guests, booking conflicts, force majeune, change of status (ie homeowners may elect to no longer offer the home for short term rentals).
No Smoking Policy
Any guest found in violation will be asked to leave the rental villa. All monies for the reservation will be forfeited. If it is determined after departure that smoking did occur in the vacation villa, a $250.00 charge will be applied to the security deposit.
